How to back up ChatGPT chats: the official export, how often, where to keep it

Why back up ChatGPT chats?

Your chats live in your ChatGPT account, and a few actions there cannot be undone. When you delete a chat, OpenAI schedules its permanent removal within 30 days, and a deleted chat cannot be restored, in ChatGPT or through OpenAI Support. Deleting every chat at once is just as final. An export made afterwards does not help either: an export cannot restore chats that have already been deleted.

There is one more case the help page names directly: request, download and check an export before a personal workspace is moved or merged into a Business, Enterprise, Edu or ChatGPT for Healthcare workspace; after it is removed, an earlier export link may stop working. And a copy of your own lets you search or reuse old answers outside ChatGPT, in any tool that reads JSON.

How do I back up ChatGPT chats with the official export?

1. Sign in to ChatGPT on the web (chatgpt.com).
2. Go to Profile menu > Settings > Data controls > Export data > Export > Confirm export.
3. Wait for an email or SMS with a download link when the export is ready, which can take up to 7 days, then select Download data export. The link expires 24 hours after you receive it; download the export while signed in to the same account that requested it.
4. Open the ZIP and check that the conversations you need are there. They are in conversations.json, or in numbered conversation JSON files for a larger account.

Export is available on Free, Go, Plus, Pro and eligible Edu workspaces (Business, Enterprise and ChatGPT for Healthcare ask the workspace owner). If you cannot sign in, the help page offers the Privacy Portal instead: privacy.openai.com > Make a Privacy Request > I have a consumer ChatGPT account > Download my data. How often should you back up?

OpenAI's help pages do not give a schedule, so this is a choice. These moments are worth a backup every time:

• Before you delete a chat you might need, or use Delete all.
• Before a personal workspace is moved or merged into a Business, Enterprise, Edu or ChatGPT for Healthcare workspace.
• Before you close or stop using the account.

Beyond that, pick a rhythm you will actually keep: monthly suits someone who uses ChatGPT most days, less often if you use it rarely. The help page's limits shape the timing. An export can take up to 7 days to arrive, and you should wait for an export in progress to finish before requesting another. The link then lasts 24 hours, so request it when you will be around to download it.

Where should you store the ZIP?

The help page is plain about it: downloaded data can include sensitive account information; keep your download link and exported files secure. The ZIP holds your chat history, so store it the way you would store private documents:

• On an encrypted drive, or in cloud storage protected by a strong password and two-step sign-in. Not in a shared or public folder.
• With a second copy in another place, for example an external drive, so one failure does not take the only copy.
• With the date in the file name. Each export is a full copy, but keep older ZIPs if you delete chats: a new export no longer has them.
• Not in an email thread. Download the file from the link, then delete the message.

What the export does not include

OpenAI's help pages name these limits. Anything they do not mention, check in your own ZIP.

• Deleted chats. An export cannot restore chats that have already been deleted.
• A way back into your chat history. You can upload conversations.json (or the numbered files) to a new conversation in another personal account, and ChatGPT can use it as reference in that conversation, but it does not add the old conversations to your chat history, create separate chats or restore your sidebar.
• NeatChats folders and pins. The extension stores them in your browser, not in the ChatGPT account, so the export cannot contain them.

Back up your folders too

If you file chats with NeatChats, the folders extension for ChatGPT, the folders, pins and remembered titles are a second thing worth keeping. Open the extension popup from the Chrome toolbar and click Export backup: it writes neatchats-backup-YYYY-MM-DD.json at once, with nothing from inside your chats. Backup and restore are included on: Free and Pro.

Import backup on another computer puts the whole panel back for the same ChatGPT account, because folders refer to chats by id and the chats still live in that account. Import replaces what is there rather than merging, and a file with more than 500 folders or another format version (this one is 1) is refused. The export guide lists every key in the file.
