How to file your ChatGPT chats: a five-step system that holds

The sidebar is one list, newest first, and it never gets shorter. This is the order to fix that in, with the numbers the extension actually enforces: pin the few chats you open daily, make 3 folders before you pay for anything, file each chat from its row, archive what is finished instead of deleting it, and export a backup (neatchats-backup-YYYY-MM-DD.json) once a month. Each step takes minutes; the system survives because the steps are boring.
Why the sidebar fills up and stays full
ChatGPT keeps every conversation in one list, newest first, and offers two ways out as of 2026-09: move chats into Projects, which also share files and instructions, or archive them, which hides them from the list. Neither is a filing system. Projects change how a chat answers; archiving hides the chat from you as well. Step 1: pin the chats you open every day
Hover a chat in the history, click the + on its row and choose Pin. Pinned chats sit at the top of the panel whatever ChatGPT does below, newest pin first, and pinning is free on every plan. Keep the list to the chats you genuinely open daily: a running work log, a style guide, a project you are in the middle of. A long pin list is a second history; a handful is a shortcut bar. A pinned chat can also sit in a folder, so pinning never blocks step 3.
Step 2: make 3 folders, named by outcome
Click the + in the panel header, type a name of up to 40 characters and press Enter. Free stops at 3 folders, and that limit is a feature at this stage: it forces the top level to be broad. Name folders by what the chats produce, not when they happened. "Client proposals", "Code help" and "Personal" survive a full sidebar; "March" does not, because you will not remember what was in March. If a fourth folder suggests itself, write it down and wait a week; it is usually a subfolder of one of the 3.

Step 3: file from the row, as you go
The same + on a chat row lists your folders; pick one and the chat appears under it in the panel. A chat sits in one folder at a time, so filing it elsewhere moves it. Do this when a chat ends, not in a clean-up session: one click per chat then, a whole session later. Inside a folder chats are listed newest first, and the Search chats box above filters titles as you type, so a full folder is still one glance. The panel remembers up to 2,000 chat titles, filed and pinned chats never dropped, which is how a folder can show a chat ChatGPT has not scrolled into view yet. Step 4: archive finished chats, do not delete them
Filing keeps the list short for the chats you still use. For the ones you are done with, open the chat's more options menu (…) in the history and select Archive; no confirmation is asked. The chat leaves the sidebar, stays in your account and stays searchable; a deleted chat, by contrast, is purged within 30 days and a deleted chat cannot be restored, in ChatGPT or through OpenAI Support. If an archived chat was in a folder, the folder keeps its entry under the last title it saw, so nothing in the panel breaks. The delete or archive guide has both sets of steps and the bulk versions.
Step 5: export a backup once a month
Open the extension popup from the Chrome toolbar and click Export backup. The file is neatchats-backup-YYYY-MM-DD.json, plain JSON with your folders, pins, remembered titles and collapsed state, and nothing from inside the chats. Import backup on another computer puts the whole panel back, because the chats still live in your ChatGPT account and the file only needs their ids. When to pay for Pro, and what it changes
Two signals. You keep wanting a fourth folder that is not a subfolder of the three, or you keep searching for a chat by something that was said in it rather than in its title. Pro removes the folder cap (the extension's own limit is 500), adds 1 level of subfolders and a colour per folder, and turns on search in content: press Enter with "in content" on and the panel reads up to 40 chats per search with your own session, in your browser. The order matters more than the plan. Pins first, 3 broad folders, file at the end of each chat, archive the dead ones, back up monthly. A system with those five habits holds on the free plan; Pro adds depth, not discipline.

- How many folders do I need to start?
- 3, which is what the free plan gives. If you cannot name a fourth folder by the outcome it serves, you do not need it yet. Pro lifts the cap to 500 and adds 1 level of subfolders, which is where detail goes later.
- Should I delete old chats to keep the sidebar short?
- Archive instead: archived chats leave the regular sidebar but remain searchable and keep the same retention as other saved chats, while a deleted chat cannot be restored. Filing does the same job for the chats you still use: nothing changes in ChatGPT, the folder just gives you one line.
- What does the backup protect against?
- A new computer, a fresh Chrome profile or a removed extension. The folders live in this browser only; the backup file carries folders, pins and up to 2,000 chat titles, and Import puts them back on any computer signed in to the same account.
